Buy, don't build.
Use commercial software that is maintained, supported and already compliant. Do not write your own.
attiva. sets up the software, the workflow and the AI so an advice firm runs on one connected system. Every client, every document and every decision in one place, written down as it happens. Built to take on more clients and more advisers without growing the back office.
Advice firms that want to grow without adding admin.
Mortgage and insurance advisers adding investment or KiwiSaver advice.
Groups that want every adviser, in every office, working the same way.
Firms that have bought good software and never got it talking to itself.
Three principles. Get these right and the tools look after themselves.
Use commercial software that is maintained, supported and already compliant. Do not write your own.
No single package does everything well. Pick the best tool for each job and keep the list short.
Every tool has to connect to the others through APIs or native integrations. If it cannot be plumbed in, it does not get used.
The tools change. The principles do not.
A CRM sits in the middle. Email, files, tasks and AI plug into it. Nothing gets typed twice and nothing lives in someone's head.
For the firms we work with today that means Gmail for email, monday.com for tasks and workflow, box.com for files and Claude for AI. Yours might be Outlook, Salesforce and a different AI. That is fine. What matters is that they plumb together.
Claude can be used for almost anything. In an advice firm we give it specific roles, and people make the decisions.
Each week it reads the FMA and DIA updates and cases against the firm's own policies and procedures. Each day it goes through the inboxes and flags what the compliance officer should look at. Everything it does is logged.
Client calls are transcribed and checked against the firm's standards. It flags the calls a person should review. A person reviews them.
The fact find goes in. A draft statement of advice comes out in the firm's format, with the right fund fact sheets and product disclosure statements attached. The adviser checks it, changes it and signs it off. The advice is always the adviser's.
When the process lives in the system rather than in people, a new adviser or a new office runs the same way as the first one on day one. That is what makes a firm scalable, and it is what makes it easy to check.
If it was not written down, it did not happen.
Everything runs through the system, so everything is written down.
